Creating and Presenting Custom Shows in PowerPoint XP

Learn how to adapt a single presentation to multiple audiences.

Suppose you created a 50-slide presentation on a particular topic, and you were scheduled to present this show at three different geographic sites. However, not all slides in the presentation apply to every site, so you must figure out a method for adapting your newly created show to these three audiences. What should you do? Copy and paste the relevant slides into three separate PowerPoint presentations? What if the presentation contains some serious multimedia, and you can't afford the disk space to create separate presentations? What if you are under major time constraints? Well, one very viable option is to create three custom shows from your one presentation. The purpose of this article is to teach you how to create and present custom shows in Microsoft PowerPoint XP.

A custom show is a named subset of slides that can be run as its own "presentation within a presentation." One great benefit of creating custom shows is that you can adapt a single presentation to multiple audiences without the hassle of having to create separate presentation files for each audience. Custom shows can also be linked, which means that you can "daisy chain" two or more custom shows together and show them as a single presentation. To begin, why don't we start by creating a custom show.

To create a custom show, switch to Slide Sorter view and click Slide Show => Custom Shows... to open the Custom Shows dialog box.

Because we have not yet created any custom shows, the Custom shows: text box will, by definition, be blank. Click New... to continue.

In the Define Custom Show dialog box, name your custom show by typing the show name in the Slide show name: text box. Next, scroll through the Slides in presentation: list, select each appropriate slide, and click Add>> to add the slides to the Slides in custom show: list box. To select multiple adjacent slides, click the first slide, hold down SHIFT, and then click the last slide in the series. To select multiple non-adjacent slides, click the first slide, hold down CTRL, and then click each subsequent slide. You can reorder your selected slides by using the arrow buttons, which are located in the right portion of the Define Custom Show dialog box. Click OK when you are finished selecting the slides that will comprise your custom show.

You can return to the Define Custom Show dialog box for any custom show by selecting the appropriate show in the Custom Shows dialog box and then clicking Edit.... Click Remove to delete the selected custom show. To create another custom show using the same slides as an existing custom show, select the custom show and click Copy. Next, select the copy and then click Edit... to return to the Define Custom Show dialog box, where you can rename and tweak it. Click Show to preview any custom show.
